HR Administrator
Full time – Permanent, 37.5 hours per week
We are seeking a proactive and organised HR Administrator to join our busy and supportive HR team. The postholder will provide day‑to‑day administrative support across the employee lifecycle, including recruitment coordination, onboarding, training administration, HR record‑keeping and general HR office duties. They will play an important role in ensuring smooth HR operations, supporting staff and managers, and maintaining accurate and compliant HR processes.
As a key member of a small and dynamic team, you will support the Head of Human Resources in delivering a professional, efficient and people‑focused HR service across the organisation. Your role will span recruitment coordination, training and development support, benefits administration and general office duties. You will work collaboratively with colleagues to ensure staff are well supported, engaged and equipped to contribute to Jersey Heritage’s strategic objectives.
What You Will Deliver
Supporting the Business
You will work closely with departments, line managers and colleagues to provide a high‑quality HR service. Operating within agreed procedures and upholding Jersey Heritage Values, you will support recruitment administration, posting job adverts, coordinating interviews, induction processes and the coordination of training and development activities.
Communication and Collaboration
You will build strong working relationships and communicate proactively with internal and external stakeholders. You will ensure all parties are appropriately informed, consulted where necessary, and engaged throughout HR processes.
Employee Lifecycle
You will contribute to a positive working environment for staff and volunteers.
Prepare contracts, offers and onboarding documentation, ensuring a smooth and compliant new starter experience.
Deliver HR induction presentations to new starters. Maintain accurate HR records and manage the HR inbox, responding to queries and escalating issues appropriately.
Planning & Organisation
You will manage your own workload effectively, working to tight deadlines, particularly around payroll cycles and seasonal recruitment. Flexibility and adaptability will be essential as priorities shift.
HR Systems & Reporting
Produce regular HR reports (e.g., headcount, performance metrics, absence trends) and provide insights to support decision‑making.
Maintain the HRIS including for example addition of new employees, & recording of sickness / annual leave.
Payroll & Benefits Administration
Support payroll preparation by processing changes, checking data accuracy and administering employee benefits.
Process HR invoices, training bookings and payment requests.
Governance & Compliance
You will maintain accurate and confidential staff records, ensuring compliance with Data Protection legislation. You will stay informed on relevant employment law and best practice, suggesting updates to policies and procedures where appropriate. You will provide consistent and reliable HR information to managers and stakeholders.
Working Safely & Securely
You will take responsibility for your own safety and the safety of others by following health and safety procedures and promoting safe working practices across the organisation, including when using Jersey Heritage vehicles.
Financial Performance
You will support Jersey Heritage’s fundraising initiatives as required and ensure cost‑effective working practices across all HR activities.
General Office & Project Support
Provide administrative and project support to the Head of HR.
Manage staff queries, coordinate travel and accommodation for HR‑related events, and support organisational meetings including minute‑taking.
Scope of the Role
Reports to: Head of Human Resources
Location: Jersey Museum
Working hours/Pattern: Full Time, 37.5 hours per week [1950 hours per annum]
Line management: ‘No direct reports’
Operating budget: None
Knowledge, Skills and Experience required:
- A recognised Human Resource qualification or willingness to obtaining one is desirable but not essential.
- An understanding of human resource management practices and Jersey employment law, with a commitment to developing and supporting good HR practice across the organisation.
- Previous administration experience within a human resource or office environment.
- Excellent IT skills.
- Good people skills, including interviewing and listening skills, enabling strong and effective working relationships.
- Strong interpersonal skills with the ability to interact confidently with a wide variety of people in different situations; able to influence and negotiate appropriately.
- Able to plan, organise and prioritise workload effectively; able to work on own initiative and take responsibility for completing tasks.
- High attention to detail and accuracy.
- Resilience and tenacity.
- Ability to respect confidentiality and act with discretion at all times.
- A supportive team worker with a flexible, positive ‘can‑do’ approach.
- Commitment to customer service standards, with a flexible, customer‑focused approach and experience delivering high levels of service.
- Knowledge of relevant Health and Safety compliance requirements and emergency procedures.
- A full, clean driving licence is desirable.
